"Policy for extra charges"
I was very disappointed that my inspection required an extra $38 charge (on top of the base price) plus a new appointment a week later... just because my tire inflation light needed to be reset (and apparently it was simple fix that could have been done that day). The dealer reset it for $10 (no parts needed) and fit in the inspection on the same day for less than the base price at Bob's... the dealer also noted that they give people 10 days to make repairs to pass inspection without an additional charge. I'm too busy as a father and clinician to deal with the unnecessary runaround. I know you have a business to run, but I would bring you more business if there was less runaround involved. Toyota seems to understand that and they have made it a core practice to respect the consumer's time. Books have been written about their quality improvement approach. It's a much better foundation for business to address the customer's needs efficiently, that generates repeat business. In your favor, your employees are cheerful, polite and nonconfrontational on the phone. It would probably make their jobs easier if your policy made it easier to satisfy customers.
